Booking & Payment FAQs
Everything you need to know about reserving private expeditions in Egypt. Clear guidance on deposits, refund schedules, bank wire transfers, pricing guarantees, and monument regulations.
Reservations & Booking Milestones
Our reservation process follows four clear stages:
- Initial Consultation: You submit your itinerary blueprint via our planner, customizer, or quote desk.
- Custom Proposal: Within 24 business hours, our senior Cairo planners return a detailed, day-by-day itemized proposal.
- Confirmation & Deposit: A 25% deposit locks in your private vehicle fleet, hotel suites, Nile cruiser or Dahabiya cabin, and allocated Egyptologist.
- Voucher Dispatch: 30 days prior to arrival, upon final balance clearance, your official Ministry of Tourism travel voucher and 24/7 airport arrival instructions are delivered.
A standard deposit of 25% of the total journey cost is required at the time of booking confirmation. This deposit allows Ultra Egypt Travel to secure non-refundable room blocks at historic landmark palaces (such as Marriott Mena House or Sofitel Legend Old Cataract), lock private Dahabiya sailing allotments, and issue non-refundable domestic EgyptAir flight tickets.
The residual balance of 75% is due exactly 30 days prior to your arrival date in Egypt.
Yes. Because our itineraries are 100% private and custom-tailored, you may adjust excursion dates, timing, or monument additions up to 15 days before arrival without administrative modification fees.
Changes to domestic flights, river cruiser sailing dates, or room categories are subject to third-party carrier availability and airline amendment fare rules.
Cancellations, Refunds & Price Protection
Our cancellation schedule is structured to protect travelers while honoring contracted hotel and vessel allotments:
- 60+ Days Prior to Arrival: Full refund of all funds received, minus a 5% administrative bank transaction processing fee.
- 59 to 31 Days Prior: Cancellation fee of 25% of the total journey price (deposit retained).
- 30 to 15 Days Prior: Cancellation fee of 50% of the total journey price.
- 14 Days or Fewer / No-Show: Cancellation fee of 100% of the total journey price.
Note on Dahabiya Full Charters: Private full-vessel yacht charters adhere to custom seasonal contracts detailed during quotation.
Yes, 100%. Once your 25% booking deposit is received, your quoted price is permanently locked and frozen. Ultra Egypt Travel absorbs any subsequent fluctuations in Egyptian Pound exchange rates, fuel surcharges, or statutory monument ticket increases enacted by the Ministry after your booking date.
If travel becomes impossible due to declared force majeure events (such as international flight bans, government border closures, or natural disasters), guests are offered a 100% travel credit voucher valid for 24 months with no rebooking penalties, or a prompt refund minus unavoidable unrecoverable costs (such as issued airline tickets).
Payment Channels & Banking Security
We provide two primary verified payment methods:
- International Bank Wire (SWIFT / IBAN): Direct wire transfers to our corporate accounts at National Bank of Egypt (NBE) and Banque Misr in USD, EUR, or GBP.
- 3D-Secure Credit Card: Online payments via Visa and MasterCard processed through our bank gateway with two-factor authentication.
Residual balances for custom private tours may also be settled in person upon arrival at our registered Cairo headquarters.
Ultra Egypt Travel holds an active Class A Tourism License (#874) issued by the Egyptian Ministry of Tourism and Antiquities, backed by a statutory financial bank guarantee bond lodged with the state. All credit card processing utilizes 256-bit TLS encryption compliant with global PCI-DSS standards.
Ultra Egypt Travel does not add hidden merchant surcharges. Bank wire transfers are received at net value without processing fees on our end (though your sending bank may assess international wire fees).
Monuments, Cashless Rules & Operations
The Ministry of Tourism and Antiquities enforces a strict cashless payment policy at all ticket counters across Egypt (Giza Pyramids, Grand Egyptian Museum, Valley of the Kings, Karnak, Philae). Cash is not accepted at monument ticket booths under any circumstances.
When traveling with Ultra Egypt Travel, all monument tickets are pre-purchased electronically by our operations staff, bypassing the ticket booth queues. For personal souvenirs or refreshments, please carry an international Visa or MasterCard.
Our Cairo International Airport operations team monitors your inbound flight number in real time. Regardless of arrival delays, your airport representative will be waiting inside the terminal before passport control with an Ultra Egypt Travel paging sign, ready to escort you through customs to your private vehicle.
Tipping is a customary element of Egyptian hospitality culture. Our proposals transparently state all service fees for included meals, drivers, and crew. General tipping for private Egyptologist guides and chauffeurs is left to your personal discretion, with comprehensive guidelines provided in your pre-departure travel packet.
